Student Housing Manager

Job Title: Student Housing Manager
Reports to: School Managing Director
Position: Full-time, live-in (based on 40-hour work week)

Position Description
Miami City Ballet School is seeking a dynamic and experienced professional to lead the housing team as Student Housing Manager. The Housing Manager’s primary responsibility is to provide leadership and compassionate care for the MCBS students with a focus on safety and engagement. Residing on-site at the MCBS Residence Hall (The Anamar at Collins Park) in a fully furnished, one bedroom apartment, the Student Housing Manager provides 24-hour supervision in all aspects of the student experience for 9 months during our Year-Round programs (Sept – May) and for 7 weeks during our Summer Programs. At times, this position will require a level of physical exertion beyond sitting.  Duty and on-call responsibilities may result in longer workdays without prior notice. The successful candidate will demonstrate the ability to balance self-care and well-being with the responsibilities of the Housing Manager position. Miami City Ballet School
The MCBS year-round and summer training programs are crafted for dedicated ballet students driven by passion and committed to achieving artistic excellence.  The school develops confident and versatile classical ballet dancersable to master any style and execute any technique at the highest level.  Training at MCBS prepares dancers to make the transition from student to professional artist at Miami City Ballet, dance companies throughout the world or any other life choice they may make. 

During the summer, MCBS provides housing for students from across the country and around the world. Housing is available for students aged 14–18 at The Anamar at Collins Park and Tradewinds Apartments—both conveniently located near our studios. The Student Housing Manager, supported by on-site Summer Resident Assistants and School Staff, ensures a safe, supportive, and engaging residential experience that fosters community and enhances each student’s summer journey. 

Housing Responsibilities 

  • Act as a point of contact for parents and students during evenings and weekends.  
  • Create and maintain a safe, secure and nurturing residential environment for all students.  
  • Oversee all aspects of student supervision and resident life culture. 
  • Ensure that students understand Residence Hall policies clearly and follow proper procedures.  
  • Conduct an orientation session for all resident students; review all resident regulations and schedules; familiarize students with Resident Hall facilities. 
  • Communicate any urgent student issues to the Managing Director immediately.  
  • Provide support to students that experience homesickness or other social issues as they arise.  
  • Oversee room checks  
  • Ensure that student health issues are addressed.  
  • Accompany students to Urgent Care facility. 
  • Ensure that engaging activities and events take place at the dorms.  
  • Supervise excursions.  
  • Be adaptable with schedule changes for performances, rehearsals or travel. 
  • Potentially assist with performances. 
  • Manage meal distribution and ensure cleanliness at MCBS Residence Hall.   
  • Manage the Residence Hall: communicate with Property Manager, ensure cleanliness in dorm rooms and common area, various duties as necessary 

Administrative   

  • Maintain database of student allergies and track new allergy/medical information as it becomes available.  
  • Track and log students’ illnesses and injuries at the studios  
  • Collect and maintain a list of travel information for students.  
  • Coordinate with School Managing Director on budget 
  • Maintain awareness of student class, rehearsal, performance and academic responsibilities. 
  • Perform other duties as required 

Summer Responsibilities  

  • Implement Residential Assistant (RA) training and orientation  
  • Plan and execute weekend excursions 
  • Email students and parents information in preparation for Summer 
  • Coordinate student hall meetings  
  • Distribute to RAs: check out forms, schedules, announcements, excursions, and bus lists, etc. ensuring equal distribution of tasks to RAs throughout the day regarding studio and housing duties 
  • Act as liaison between Managing Director and Residential Staff  
  • Lead and support RAs in enforcing policies and procedures.  
  • Follow-up with RAs regarding student illnesses and urgent care visits.  
  • Supervise/organize attendance taking at studios.  
  • Ensure that RAs collaborate, bond, and build a positive team dynamic. 
  • Oversee Resident Coordinator for meal ordering and distribution 
  • Enforce disciplinary action as necessary, determined by residence hall behavioral guidelines 

Desired Qualifications  

  • Prior experience in student services and the care of minors. Previous experience in student housing preferred 
  • Extensive experience working as a live-in chaperone or residence manager/director required. General understanding of dance and/or theater environments preferred.  
  • A commitment to the values and culture of MCBS.

SUMMARY
This position is responsible for facilitating the physical fulfillment of the Artistic vision for all company and MCB School performances.  This role is also responsible for overseeing and managing all theatre operations from load-in to rehearsal, performance and load out, and for the safe operations of all facility and theatre activity.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Direct the preparation, creation, maintenance, repair, installation, and operation of all theatrical equipment. 
  • Hire, manage, and supervise full-time, seasonal, part-time, contracted, Union and Production staff.  Serve as primary interface with all venue-provided labor. 
  • Create all technical drawings and paperwork necessary for the installation of the productions into and out of the theatre.  With the General Manager, negotiate and manage all Scenic, Lighting, Sound and Special Effects design and consultant contracts.  Negotiate and manage all lighting equipment, scenic construction, and equipment transportation as well as purchase and rental activities. 
  • Assist the Production Stage Manager in the creation of the general Production Schedule for each main stage production.  Manage all staff in the achievement of that schedule. 
  • Create and track annual operating budget for the Production Department.  Oversee the accounting and reporting of Production department finances.  Review, approve, and track all accounts payable for Production department invoices and payroll. 
  • Create all technical drawings necessary for the bidding for and/or construction of any new production.  Oversee, manage, and actively create any new scenery, prop, road box or storage crate construction. 
  • Provide Company Manager any necessary logistical and technical information necessary for the pursuit of international and domestic touring engagements.  Author Technical Riders for all international and domestic touring. 
  • Responsible for warehouse/workshop operations and the safe storage, maintenance and inventory of all physical production equipment therein. 
  • Act as reference, advisor, and facilitator to all departments in areas of production, i.e. special events, marketing, development, and community engagement events requiring technical support, transportation, permitting, or Company or School dancers, both inside and outside the company’s facilities. 
  • Other duties as assigned by General Manager and Artistic Director. 

QUALIFICATIONS 

  • Minimum of five years related field experience in theatrical technical production with some experience in a major national performing arts center at the equivalent scale (in terms of crew, lighting, scenery, etc.) of Miami City Ballet productions
  • Touring experience highly preferred
  • Excellent communication and team building skills
  • Ability to lead, supervise, and coordinate administrative and production staff as well as provide support for designers and artistic staff
  • Lead crews effectively
  • Experience working with IATSE crews and working conditions

Executive Assistant
Reporting to the Senior Director of Development, the Executive Assistant will provide key administrative support to help the fundraising department achieve its annual revenue goals. The Executive Assistant will serve as a key member of the individual giving team and will also provide administrative support to the Director of Special Events. The Executive Assistant will be a self-starter who prioritizes competing demands, hosts and coordinates meetings, schedules travel arrangements, drafts correspondence and proposal, processes expenses, and maintains donor records in Tessitura. The Executive Assistant will be expected to attend performances and special events to greet guests and will interact with staff at every level across departments.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Assists Sr. Director of Development in preparing PowerPoint presentations and supporting documentation for Board of Trustees meetings, Campaign Committee, Development Committee, and Nominating and Governance Committee meetings.
  • Writes, proofreads, edits, and sends correspondence on behalf of the Sr. Director of Development, including: gift agreements, major gift proposals, stewardship reports, and other correspondence.
  • Assists Sr. Director of Development in planning development team meetings, including date selection and agenda distribution, and in creating a team culture that aligns with MCB brand values.
  • Participates in individual giving team meetings and serves as a liaison between the individual giving team and the Sr. Director of Development
  • Provides administrative support to the Special Events Director and Senior Director of Major Gifts on mailings, including overseeing printing, merging, stuffing, and mailing of letters, cards, and other donor communications
  • Creates in-depth research profiles on donors and prospects as needed by the Sr. Director of Development and Board of Trustees
  • Manages the calendar of the Sr. Director of Development, including scheduling meetings and travel as needed
  • Drafts emails on behalf of the Sr. Director of Development and manages the ghost email account
  • Tracks and maintains the department budget and oversees reconciliation with the Finance Department
  • Processes check requests, oversees credit card expenses, and reimbursement requests on behalf of the Sr. Director of Development
  • Monitors news articles and google alerts for information on major donors and updates research profiles and donor records accordingly
  • Tracks and maintains the portfolio of the Sr. Director of Development and members of the Board of Trustees in Tessitura, including all contact reports.
  • Provides superior customer service to donors who are visiting MCB studios by confirming attendance, providing parking details, sharing guest protocols, and greeting them upon arrival
  • Opens and distributes department mail and scans contributions for gift processing.
  • Attends most donor events and performances to greet guests, staff special events, manage seat notes, and offer bespoke donor experiences

 QUALIFICATIONS

  • Minimum of two years of administrative experience, preferably in a fast-paced and deadline driven environment
  • Proficiency in Microsoft Office Suite, especially Word, Excel, and PowerPoint, and fluency in mail merges
  • Ability to write clearly, succinctly, and in an appealing way to targeted audiences
  • Ability to prioritize work, juggle multiple projects, maintain organized files, and manage time effectively
  • Exceptional attention to detail is required, especially when communicating with Trustees, major donors, and members of the senior leadership team
  • Ethos of collaboration and ability to work alongside all members of the development team
  • Capable of maintaining sensitive, confidential information with discretion
  • Proficiency in Tessitura or other non-profit CRM highly desirable

Major Gifts Officer

Reporting to the Senior Director of Development, the Major Gifts Officer (MGO) will collaborate with the Senior Director of Major Gifts, the Board of Trustees, and the Development Committee to meet both the short- and long-term fundraising goals of the Development Department and Miami City Ballet. The primary objective of the MGO is to develop long-term relationships with donors and prospects, based on a deep understanding of their interests, passions, and values, with the goal of cultivating, soliciting, and securing gifts of $25,000 and above. We are seeking an experienced and highly professional individual responsible for the development and implementation of a strategic solicitation plan aimed at generating major gifts from high-level donors and prospects.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Guided by the values and mission of MCB, serve as an active member of the Development team to increase individual and corporate giving.
  • Manage a portfolio of up to 150 prospects, moving potential donors through the discovery, cultivation, solicitation, and stewardship phases in a timely manner.
  • Identify, cultivate, solicit, and close major gifts that generate donations of $25,000 and above, primarily from individual donors and corporations.
  • Serve as an eloquent and gracious ambassador and spokesperson for MCB.
  • Cultivate and expand planned giving opportunities with new and existing donors, integrating planned gift objectives into major individual donor requests.
  • Collaborate closely with the Senior Director of Development, Senior Director of Major Gifts, Board members, and staff to identify and engage new prospects.
  • Assist in the development of major gift materials, including research, briefing memos, proposals, and stewardship documents.
  • Monitor weekly, monthly, quarterly, and annual activity to achieve individual performance goals (e.g., meetings, proposals, major gift revenue).
  • Stay informed about organizational priorities, programs, and events.
  • Track and report relationship management activities using Tessitura, MCB’s CRM system, including identification, qualification, cultivation, solicitation, proposal submission, and stewardship of prospective and current individual major donors.

QUALIFICATIONS

MCB seeks a Major Gifts fundraiser with a demonstrated track record to meet the responsibilities listed above. The ideal candidate will possess the following professional experience and personal qualities:

  • Bachelor’s degree preferred.
  • A passion for MCB’s mission and the ability to communicate its impact in a compelling way to prospects and donors in culturally diverse communities.
  • Demonstrated ability to meet financial goals for major giving, with a proven track record of cultivating and securing five-figure gifts and above.
  • Stature and intellectual depth, combined with poise and strong solicitation skills, to collaborate effectively with MCB leadership and maximize the full fundraising potential of major donors.
  • Superb communication skills (written, oral, and listening).
  • Self-starter with the proven ability to take initiative and work independently, while also integrating effectively as part of the Development team.
  • Positive attitude with sensitivity to the needs of high-net-worth donors.
  • Collaborative style with flexibility, the ability to adapt to changing priorities, and the capacity to multitask to meet deadlines.

  • Experience with a constituent relationship management (CRM) system such as DonorPerfect, Raiser’s Edge, Salesforce, etc.; Tessitura experience preferred.
  • Ability to travel within Miami, Broward, and Palm Beach counties, and work evenings and weekends during the ballet season (October-May).

JOB SUMMARY
The Audience Services Representative (ASR) is the first point of customer contact and is responsible for providing the customer with the best impression of the Miami City Ballet. Remote work is available throughout the year when no onsite or in-venue service activations occur.

Key responsibilities include delivering excellent customer care for all customers and prospects of MCB:

  • Managing inquiries and communications with customers across several communication channels.
  • Acknowledge and resolve customer concerns and complaints.
  • Knowledgeable about the MCB as an organization, familiarity with the company of dancers, our season, and events/performances inside and out to answer questions
  • Communicate and coordinate with colleagues as necessary
  • Provide ongoing feedback on the efficiency of the customer service process
  • Keep records of customer interactions, transactions, comments and complaints.
  • Process orders, forms, modifications and escalations
  • Fulfill and generate ticket sales, subscriptions and payments

To do well in this role, the ASR must be customer-centric and service-oriented with a positive, empathetic and professional attitude toward customers at all times.

RESPONSIBILITIES

Relationship management

Take and fill ticket orders for individual ticket purchases over the telephone and at the box office window.

  • Respond promptly and thoroughly to customer inquiries; Resolve customer complaints efficiently and strive to deliver customer satisfaction
  • Build rapport, on-going relationships, and credibility with customers by delivering consistent and excellent customer care, anticipating their needs (and objectives of the customer) and initiate any service recovery.
  • Understand and provide information: seating, prices, fees, and sections of multiple venues, as well as parking options and directions and related information to help provide optimal customer experience.
  • Provide customers insight and updates on the season, programs, and various subscription package and product options, in order to increase sales, engagement and/or customer service.
  • Explain provide upgrade options and fill orders for interested patrons.
  • Assist patrons/subscribers with ticket exchanges.
  • Provide assistance and support for ticketing matters for internal department needs.

Data Management

  • Process all transactions through Tessitura.
  • Create and maintain accurate customer data in Tessitura.
  • Provide daily payment settlements to management; ensure final report balances credit cards, cash, and check transactions.
  • Filling in CSI’s to capture customer feedback after shows, etc.

Other:

  • Prepare tickets for mailing or will call as needed.
  • Correspond with customers via email, phone or any other written documentation is imperative.
  • Contribute and assist in various CR-related administrative tasks and duties to support smooth-running CR operations.
  • Work collaboratively with organizational colleagues across the organization.
  • Share frontline customer feedback with Marketing and Development team as appropriate.

On-site service:

  • Provide customer/subscriber and relationship management support on performance weekends and locations.
  • Provide clerk duties at the MCB Store, both on-location and at various performance venues.

SKILLS AND QUALIFICATIONS

  • Experience working with customer support.
  • Comfortable using computers and databases.
  • Knowledgeable in Excel, Microsoft Word, Tessitura knowledge ideal, training provided for Tessitura.
  • Ability to use database software; maintain accurate electronic records—tessitura knowledge ideal.
  • Interest and desire to have strong Product/Service knowledge – From common issues to upgrades, CRR has and pursues knowledge about the organization, season programs, dancers, and other info relevant to offer customers.
  • Excellent communication skills: oral, interpersonal, and written – Ability to hear customer suggestions and complaints, respond accordingly and clearly while flexible to adapt message and style to various customer types.

JOB DESCRIPTION:

Reporting to the Miami City Ballet’s Director of Community Engagement and the Dance Education Programs Manager, Teaching Artists are practicing artists in Dance, Arts Education, and Performing Arts committed to working with young people of varied abilities. Miami City Ballet’s Community Engagement programs, including STEAM+, Explore Dance, M.C.B.’s Masterclass Series, and Miami City Ballet’s Palm Beach Summer Dance Camp, bring high-quality arts enrichment to the youth of South Florida by working through established after-school and year-round programs at Miami-Dade County Title I Public Schools, Partnering Community Organizations, K-12 Performing Arts Schools as well as Performing Arts magnet schools.

Applicants must demonstrate expertise working as professional dance teaching artists, the ability to set choreography for students of varied abilities, basic curriculum standards to teach Ballet Fundamentals, Creative Movement practices, the ability to produce Culminating Event performances, experience in lesson planning and arts integration curriculum writing, strong communication, and interpersonal skills, facilitating group decision-making, handling multiple tasks simultaneously, and strong attention to detail.

SCHEDULE & COMPENSATION:

This is an independent contractor position. Applicants must have availability to work during and after school hours, on occasional weekends, and during the day in the summers. Teaching Artists should have the ability to travel throughout the South Florida tri-county region to various residency sites. A full residency ranges between 5-25 weeks (according to each program) and ends in a culminating performance. Teaching Artists earn $50/hour to instruct and $25/hour for lesson planning, and mileage reimbursement for instruction provided outside of Miami-Dade County.

DUTIES & RESPONSIBILTIES:

Direct instruction with students in Kinder-12th Grade using guidelines of the Florida Arts Standards, MDCPS STEAM+ Rubric, and Miami City Ballet Fundamentals Curriculum. Planning and executing arts programming appropriate for specific age groups, attending professional development workshops and meetings, and carrying out administrative responsibilities (such as submitting written lesson plans, student pre-and post-assessments, timecards, student evaluations, and other duties as assigned). TAs selected for employment must also attend a 3-day training session held at Miami City Ballet from September 28th – 30th, 2022.

REQUIRED QUALIFICATIONS:

Minimum (4) years of teaching experience and substantial training in Dance Education. Strong content knowledge in classical ballet, performance, and stage work. Commitment to serving children in typically under-represented communities. Must be culturally competent to work with a diverse student body and students with special needs. Must be adaptable to instruction in non-traditional dance spaces. Excellent verbal and written commutation skills. Excellent interpersonal communication skills with adults and children. Instructors with proficiency in Spanish are encouraged to apply. Instructors with varied dance genre teaching experience with a strong ballet foundation are welcome to apply.

ABOUT COMMUNITY ENGAGEMENT

Miami City Ballet Community Engagement effectively eliminates barriers to arts education and access through thoughtful creative learning opportunities for those at every level of arts exploration, reaching thousands of young people and families every year.

MINIMUM QUALIFICATIONS

Two-year minimum experience in the field of youth and arts education. Individuals must be highly organized and productive, tech-savvy, self-motivated, and have experience coordinating programs. Essential Duties and Responsibilities:

  • Coordinate, collaborate, and support program needs across team areas in Community Engagement.
  • Work with various teams within Community Engagement to ensure seamless coordination of program requirements.
  • Act as a liaison between different departments to facilitate effective communication and resource allocation.
  • Coordinate and provide support for all special projects and community initiatives.
  • Responsible for setting up, preparing, and attending all community programming, performances, and activations.
  • Coordinate with relevant teams to create a visually appealing and logistically efficient setup for successful events.
  • Coordinate logistical aspects of community programming and performances, including transportation logistics, catering arrangements, and collaboration with production for costume load-out, etc.
  • Ensure all details are meticulously planned to enhance the overall performance experience.
  • Actively support and participate in Community Engagement events and programming.
  • Ensure the successful planning, implementation, and evaluation metrics for all community initiatives.
  • Coordinate logistics, registrations, and overall administration to guarantee a smooth and enriching experience for all Community Engagement programming.
  • Coordinates calendar of events to ensure seamless organization.
  • Manages department marketing deadlines and organizing of materials and collateral for events.
